KloudEmail MFA options
For KloudEmail-hosted email, the available MFA methods are:

  • SMS / text‑message code sent to the user’s mobile phone.

  • Mobile‑app (authenticator) code from a time‑based authenticator app (for example, Google Authenticator, Microsoft Authenticator, etc.).
    When the domain is set to Required, users must complete one of these MFA methods before they can access Webmail. When the domain is set to Optional, users may turn MFA on or off for their own mailbox.


Admin steps – turn MFA On (Required or Optional)


Follow these steps in the KloudEmail Control Panel for each domain where you want to enable MFA:

  1. Log in to the KloudEmail Control Panel with your admin credentials.

  2. In the left menu, click Webmail Settings under Settings.

  3. Find the Multi‑Factor Authentication section. You will see three options: Required – users must set up MFA before they can access Webmail; Optional – users can decide if or when to set up MFA; Disabled – users do not have the option to set up MFA.

  4. Choose either Required or Optional, depending on your security policy.

  5. Click Save at the bottom of the page.

What each choice means for users

  • If you choose Required: the next time a user logs in to KloudEmail Webmail, they must complete MFA setup (SMS or authenticator app) or they will not be fully logged in.

  • If you choose Optional: users can log in as usual, but they will see the option in Webmail → Settings → Security to turn MFA on for extra protection.


End‑user steps – set up MFA in KloudEmail Webmail


Once the admin has set MFA to Required or Optional, each mailbox user must complete MFA setup inside Webmail.
Prerequisites for the user:

  • Your KloudEmail email address and password.

  • A mobile phone that can receive SMS text messages and/or a smartphone with an authenticator app installed.

Step‑by‑step instructions for the user

  1. Log in to KloudEmail Webmail: go to the KloudEmail Webmail login page, enter your email address and password, then click Log In.

  2. Open Settings → Security: once in Webmail, click the Settings (gear) icon, then in the left‑hand Settings menu click Security.

  3. Turn Multi‑Factor Authentication On: in the Security tab, find Multi‑Factor Authentication; if MFA is currently Off, click or slide the control to turn it On; a setup wizard will open and ask you to choose how you want to be verified.

  4. Choose your MFA method and verify:
    Option A – SMS / Text message: select the option to receive a text message, enter your mobile phone number when prompted, a one‑time code will be sent to your phone by SMS, enter that code into the verification field and confirm.
    Option B – Authenticator app: select the authenticator app option, open your preferred authenticator app on your smartphone, scan the QR code shown in Webmail or manually enter the secret key displayed, your app will generate a 6‑digit time‑based code, enter that code into the verification field and confirm.

  5. Finish setup and confirm MFA is On: after you enter the correct code, the system will confirm successful MFA setup; in Settings → Security, you should now see Multi‑Factor Authentication: On.

  6. Test login with MFA: log out of Webmail, then log back in with your email address and password; when prompted, enter the MFA code—if you selected SMS, wait for the text message and type the code you receive; if you selected an authenticator app, open the app and type the current 6‑digit code; after entering the code, you will be logged into Webmail.


Important notes for customers


  • The setting in the KloudEmail Control Panel (Required, Optional, Disabled) controls whether users are forced or allowed to use MFA.

  • Each mailbox owner still has to complete the user‑side setup in Webmail → Settings → Security to turn MFA on and pair their own phone or authenticator app.

  • For maximum security, we recommend that all users enable MFA and preferably use an authenticator app rather than SMS when possible.
